Customizing security

Tip:  You can see at a glance which files on worklists are protected and how. Look for the security icons on the left-side of file listings

Your Worldox Administrator most likely has provided several security classifications for use in securing documents, in the Security Classifications dialog. Also in that dialog is another setting, a way to  customize other security settings for selected documents.

Note:  Security classifications defined this way apply only to selected files; these classifications cannot be saved for future use.

  1. Use the left-side navigation panel,  search or other tools to find the worklist you need.

  2. Highlight the file listing(s) in the right-side worklist, then select Security from the File pull-down list. You could also click Security  in the toolbar, or right-click with the file(s) highlighted and select Security from the right-click menu. That opens the Security Classifications dialog.

Note:  You can secure multiple files at once. If you select more than one, Worldox asks you to confirm your selection, in the Clarify Selection dialog. If you see this dialog, choose the appropriate option and click Continue.

In the Security Classifications dialog:

  1. Select the <Custom - Define rights by Groups/Users> classification, then click Select. That opens the File Security dialog, where you can customize security settings.

To customize settings in the File Security dialog:

  1. Add a user or group.

To add users:

  1. Click Add User to add one or more users. That opens the Add User dialog.

  2. In the Add User dialog, select user(s), then click Select in the toolbar.

Note:  You can add multiple users. If you select more than one, Worldox asks you to confirm your selection, in the Clarify Selection dialog. If you see this dialog, choose the appropriate option and click Continue.

To add a group:

  1. Click Add Group to add one or more users. That opens the Add Group dialog.

  2. In the Add Group dialog, select a group, then click Security in the toolbar.

Added groups and/or users now list in the File Security dialog.

  1. Back in the File Security dialog, customize rights for added users or groups.

You have several options for customizing rights (as in the example above, where rights are being customized for a selected user):

       Click Rights checkboxes to activate or deactivate rights. (Here is a guide to what those rights choices mean.)

       Or, copy rights from another group or user, and paste to this one:

    1. Highlight (select) the group or user to copy on the list, then click Copy to the right of the list.

    2. Now highlight the new group or user to which you want to copy those rights, then click Paste to the right of the list.

    3. Now both group/user listings have the same rights.

       You can use the right-side Features list to help inform block/allow decisions:

    1. The Features list shows which Worldox features are available to the selected security classification, and which are blocked. Choose Show Available to display a list of features available based on the current rights settings. Choose Show Blocked to display a list of features that are blocked based on the current rights settings.

    2. You can select an individual blocked feature to see which rights have to be allowed in order to grant access to that feature. Highlight the feature you are interested in adding. A list of the rights appears at the bottom of the list; these are the rights you have to grant to allow the selected feature. will also be added in order to support the addition of the feature.

In this example, a user clicks on the blocked Check Out feature. Worldox shows a list of rights below - whatever rights are already selected (in this case, Find, Read and Write) plus additional rights needed to allow this feature. Here Worldox is indicating that the Secure right has to be selected to allow the Check Out feature to the selected security classification.

    1. If you decide you do want that feature to be allowed, just check off rights boxes as needed to allow the currently blocked feature.

Note: Here are details on what specific rights enable users to do with protected files.

  1. Add any other groups and/or users needed, and customize rights for them.

As instructed in Steps 4 and 5 above.

  1. Click OK to secure the document, using these customized settings.
