Filtering is the process of sifting through a long list of worklist or table items. It differs from searching in that you start with a found or generated set of items; filtering is the way to select only items of interest from that larger list, excluding those you don't care about.

Worldox offers two main ways to filter worklist items:
• Via the Filter bar
• Via the Tags document tab.
The Filter bar is located above worklists and the navigation panel, under the Location bar:
If you don't see the Filter bar, it is possible that you don't have access rights to this feature. The other possibility is that it's hidden. To show or hide the Filter bar, select Show/Hide > File Filter Bar from the Display pull-down menu. Also, selecting Doc ID Filter from the Edit pull-down menu opens the Filter bar if it is not visible.

The All Files (*.*) entry in the Filter field shown above means the worklist underneath is unfiltered.
There are actually two different filter tools available on the Filter bar:
The first is a drop-down Filter list, used for filtering based on document type only.
The second is the Set Filter dialog, available
by clicking the Set Filter button on the right-side of the
Filter bar. Here you can
combine filters.
The Filter bar displays beneath worklist tabs. If it is not visible and you want to see it, select Show/Hide > Filter Bar on the Display pull-down menu, or press the ALT + F3 keys on your keyboard.
To hide the Filter bar, you
can use that same method - selecting Show/Hide
> Filter Bar on the Display
pull-down menu, or press the ALT
+ F3 keys
on your keyboard. Or, click the remove
button at the right side of the Filter
bar to close it.
The Filter list button opens a drop-down list on the Filter bar. It's a shortcut to one common filter method - filtering a list by any of the document types represented on the list.
Click Filter
button at the left side of the bar to open a drop-down list of file
types which are represented on the visible worklist. You can also
open this list by clicking the down arrow
to the
right of the field.
This drop-down list shows all document types represented on the visible worklist. Select any type to filter the list so that it contains only files of that type.
As you make your selection, the list reloads to show only items matching the filter just selected. The selected filter then appears in the Filter field, so you can see what the composition of the filtered list is.
To filter again, just re-open the filter list and select another document type.
Note: Each successive filter set on one worklist filters the original, unfiltered list, not the list as last filtered.
As you continue filtering, use the left arrow and
right arrow
on the left side of the Filter
bar to move between the various filtered lists created.
Tip: You can save filter settings as part of a column template, so future lists from the same folder are filtered automatically. |
To return to the unfiltered list (all document types), click the
left arrow
button at the far left of the bar:
Or, click All Files on the right side of the Filter
bar to go directly back to the original, unfiltered list.

Using the Filter input field
Press Shift +
F2 to place
the cursor in the Filter field,
or mouse-click within that field. Pressing Enter
or clicking the Select button to the right of the field
executes the command or location in that field.
Tip: If the Filter bar is hidden, pressing Alt + F3 makes it reappear. |
You don't have to enter anything in this field to use it. As you view worklists, the filter status of that worklist appears in this field.. What appears in the Filter field changes as the content of the worklist changes. This reflects one important purpose of the Filter bar, which is to describe the contents of the active (visible) worklist.
Here for example, the field value indicates that the visible worklist consists of all files relating to one matter (0040) for one client (00011) in the Firm Client Files profile group:
The Set Filter dialog offers the ability to filter by any data element of combination of elements represented on the currently-visible worklist.
Tip: Whereas the Filter field allows document type filtering only, the Set Filter dialog has no restrictions. Any data elements represented on the visible worklist are selectable for filtering in this dialog. |
To use the Set Filter dialog:
Click the Set
Filter button at the right side of the
Filter bar:
That opens the Set Filter dialog. Here you find every profile and other available identifier relating to the documents shown on the currently-visible worklist. To the left of each listing is a number - the number of files on the worklist associated with that element.
Note: You can set more than one filter at once. If you select more than one, Worldox asks you to confirm your selection, in the Clarify Selection dialog. If you see this dialog, choose the appropriate option and click Continue.
As the dialog closes, the list reloads to show only items matching filter(s) just set. The filter(s) selected then appear in the Filter field, so you can see what the composition of the filtered list is.
To filter again, just re-open the Set Filter dialog and select other filters.
