You have two options for sorting/re-sorting worklists in Worldox:
• Clicking and re-clicking column headers
• Using the Sort dialog
You may already be familiar with the first method. As worklists load into the right-hand list pane in Worldox, the initial sort order is signaled by small up or down arrows in the column header. Here the list is sorted ascending on the Description column:
Ascending means starting at one and going down to ten, or at A, going down to Z. Click once on the Description header to reverse that, re-sorting it descending:
Clicking any other column heading re-sorts the worklist ascending on the contents of that column.
Tip: You don't have to click twice to sort descending. Hold down the Ctrl key as you click in a column header to sort the worklist in descending order on the contents of that column. |
Using the Sort dialog:
Whereas column header sorts are one at a time, the Sort dialog allows you to combine sorts:
• Right-click in any column header, then select Set Multi-Level Sort from the right-click menu. That opens the Sort dialog. Here you can set two sorts that work together.
• The titles of whatever columns happen to be on the currently-visible worklist display in two rows on the dialog.
• The first, Sort By row of column choices is used to set the primary sort. The Then By row beneath is for setting the secondary sort.
• These two sorts can be set either ascending or descending independently; they do not have to be the same.
Secondary sorts are used to organize listings within the order created by the primary sort.
For example, say you want to check a long worklist for documents that have multiple versions. Set the Sort By row to the Version column descending, then set Next By to Description, ascending.
The result will be a worklist sorted so that files with the most versions list first. All files with the same number of versions would be grouped together, appearing in alphabetical order starting with A.
Filtering is the process of screening a long list of items in logical ways, to reduce the number of items to be scanned and hopefully to target only those items you really want to see. Worldox offers two options for filtering lists:
• The Filter bar
• The Tags document tab
Both achieve the same results, but the Tags tab does so in a more visual way. An additional filtering option is now available in GX3 as well, the ability to filter worklists by category.
