Outlook email signatures

Because Outlook signatures are not available when creating new Outlook messages within Worldox, Worldox provides an alternative. You can create and edit a message signature specifically for use in Worldox-generated messages.

Background

One Outlook feature that does not carry over to Worldox is the email signature.

Outlook gives users the ability to create and manage one or more signatures for outgoing email. Outlook signatures can consist of text, graphics, logos - even "business cards."  You can add a signature to individual messages, or set one signature as the default choice for outgoing email.

Assuming that your site uses Outlook as the supported email program along with Worldox:

       Any custom signatures created in Outlook are not available to you when you create new Outlook messages on the Worldox Email tab.

       You can create a signature for use in these Worldox-generated messages. Just as in Outlook, your email signature in Worldox can consist of text, graphics, logos - even business cards.

       The difference in Worldox is that there can be only one such signature. (Outlook allows for multiple signatures.) You can change the signature as needed  - or delete it - but cannot save alternate versions.

Create an Outlook email signature for Worldox

  1. With the Email tab visible, select Signature from the Edit pull-down list. That opens the Worldox Signature template, which is actually a new Outlook message form with special prompts.

In the Worldox Signature Template:

  1. Create the email signature block:
  1. Type or paste  any combination of text and/or graphics into the open area of the form.

  2. Be sure to leave at least one line space before the signature block, and one after.

Tip:  To recreate a signature from one already created in Outlook, just go to Outlook and open that signature. Copy it and return to Worldox. Paste it into the Worldox Signature Template.

  1. When the signature is just as you want it, press the Esc key on your keyboard. That closes the Worldox Signature Template and saves your email signature.

This signature will now appear automatically on any new Outlook email generated from within the Email tab in Worldox.

Edit your Outlook email signature in Worldox

Whatever email signature you have been using for Worldox-generated messages appears in the open area of the form.

In the Worldox Signature Template:

  1. Edit the email signature block:
  1. Type or paste  any combination of text and/or graphics into the open area of the form. Make any changes needed.

  2. Be sure to leave at least one line space before the signature block, and one after.

  3. When the signature is just as you want it, press the Esc key on your keyboard. That closes the Worldox Signature Template and saves your changed email signature.

This signature will now appear automatically on any new Outlook email generated from within the Email tab in Worldox.

Delete your Outlook email signature

  1. With the Email tab visible, select Signature from the Edit pull-down list. That opens the Worldox Signature template, which is actually a new Outlook message form with special prompts. Whatever email signature you have been using for Worldox-generated messages appears in the open area of the form.

In the Worldox Signature template:

  1. Highlight and delete the entire email signature block, including any line spaces before and after.
  1. Press the Esc key on your keyboard. That closes the Worldox Signature template and saves your changes.
