Searching for projects

Projects are profiled entities, the same as any other file in Worldox. Projects have a unique, .WDL file extension, so a simple wild-card search can be used to locate projects.

Note:  Make sure the Email worklist tab (if there is one on your Worldox desktop) is not open. With the Email tab open, toolbar and Search pull-down menu choices relate only to email.

  1. Find and select a search form. Search forms are:

       Listed n the Search pull-down menu.

       Listed in the Search Templates dialog, accessed by clicking Find in the toolbar.

If the search selected is a view - set to run immediately upon selection - worldox starts the search immediately. Otherwise the form opens. All search form names start with Find Files: here is an example.

In the Find Files dialog:

  1. Enter *.wdl into the Doc ID field ... the asterisk (*) being the wildcard.

  1. Specify any other values and/or text for searching.

Customize the search as needed. See Fields on Search forms for details on filling out fields. Be specific in setting search criteria, but try not to combine too many items together. Here are tips on how to search productively.

Note: You can select multiple field table values, even multiple profile groups for searching. If multiple values for any one field are selected, they combine on an OR basis. (Here's a quick primer on AND, OR and other search commands.)

  1. Save the customized search (optional).

The Find Files template you started with will always be available the next time you search; in that sense, it's not necessary to save. However, if the field settings and other criteria just set here could be useful to you again, then consider saving the customized search.

Assuming you have the rights to create and edit searches, saving is an easy, fast process. When you're done, return here and continue on to Step 6 below.

  1. When the search is set to your satisfaction, touch Search at the lower left of the dialog to start searching. Any found projects then display in the right-side, worklist pane. If no results are found, you see the Search message instead.

Filtering worklists to locate projects

  1. Use the left-side navigation panel, search or other tools to find the worklist you need.

  2. Click Tags or at the bottom right of the Worldox window. That opens the Tags document tab for the worklist above.

On the Tags document tab:

  1. Note how profile attributes are represented on the worklist.

Each element shown on this tab represents profile attributes represented within the worklist above. Here are details on what Tags type sizes, icons mean.

  1. Check the current filter "mode",

       The Filter List  is the dynamic filtering control, controlling when filtering happens. It’s on (depressed) by default, meaning successive filter choices set on this tab are immediately reflected in the list above.

       You can click this button once to turn it off; this allows multiple filters to be set or reset before the list is filtered.

  1. Check the Type category symbol.

Each separate line item (starting with a plus or minus symbol) represents a specific type of profile information. Make sure the plus symbol is selected in the Type category, to include filters set there. (Click the symbol to change it as needed.)

  1. In that category, select .WDL.

  1. Roll the mouse over the .WDL item. A highlight and checkbox appear:

  1. Check the box to select that item.

  1. Set any additional filters necessary.
  2. Go ahead and filter.

This step may in fact not be necessary. If the Filter List button is activated (depressed) on the toolbar, as in this example:

the worklist automatically filters and reload each time a new filter is set on the Tags tab.

If the worklist does not filter automatically, click Filter List.

Only projects now appear on the filtered worklist.

Open, view projects

Projects are profiled entities, in effect, the same as any other file in Worldox. Projects have a unique file extension - .WDL - so a simple wild-card search can be used to locate projects. You can also filter longer lists based on Type to find projects on worklists.

  1. Use the left-side navigation panel, search or other tools to find the worklist you need.

Tip:  Projects use a unique .WDL file extension in Worldox. That makes it easy to search for projects, and to filter long worklists to find projects in those lists.

  1. Open the project.

There are two ways to do this. To open the project as a worklist, right-click on the project listing and select Open from the right-click menu. Or, click Open in the Worldox toolbar.

To open the project for editing in the Project tab:

  1. Highlight (select)  the project file, then click the Project or button at the bottom right of the screen. That opens the Project document tab.

  2. Click Edit on the right side of the Project tab.

Tip:  My Workspaces offers another way to find projects.  Any projects saved in subscribed locations display automatically in those folders in My Workspaces, in the left-side navigation panel.
